Inventory Management for Moves: How to Track Everything
An accurate inventory reduces disputes and speeds up deliveries. Use a simple numbered-system combined with short descriptions and photos to create an auditable record for every job.
Before the job
- Perform a walk-through and note each room; assign room codes (e.g., KIT for kitchen).
- Use sequential item numbers: JOBID-Room-001 (e.g., 1234-KIT-001).
- Capture a photo of each item and label it with the item number in the filename or metadata.
On the day
- Print or use a mobile inventory sheet that lists item numbers, condition notes and client signatures.
- Record any pre-existing damage with close-up photos and time-stamped notes.
- Update the inventory as items are loaded; mark completed items to avoid omissions.
After delivery
- Compare arrival checklist with load inventory; note missing items immediately.
- Provide clients a PDF inventory with photos and condition notes as proof-of-delivery.
